Common Terms and Definitions

 

Term Definition
Annotation Status
A status associated with an annotation that determines its importance. Annotation statuses are configurable per system, but they could be something like “Accepted” or “Disregarded”. The annotation statuses are set by a gatekeeper reviewer or approver and let the artwork designer know which annotations are considered important when updating the artwork for the next approval cycle. In online proofing, you can group annotations by status and generate filtered online proofing reports which only contain annotations with certain statuses (such as those that are Accepted).
Approval Candidate ID
In the process template and subsequently in projects, each task type uses an Approval Candidate identifier to indicate what the artwork being routed for approval will be identified by in the system. This ID is used when linking artwork files to Auto Transfer to DAL tasks or for reporting purposes. Template administrators can enter their approval candidate IDs directly in each task within an approval process . See Process Templates for more information on setting up templates.
Approval File
A file that has been routed for approval through a workflow process.
Approval Task
This task type defines any task that requires a user to open a file, review it, and approve it through BLUE.
Approver
An Approver is a role associated to tasks in BLUE, given to someone who is responsible for reviewing and making approval decisions on artwork files in the Online Proofing tool. Approvers can view comments from reviewers, which, along with their own review, may help them decide whether to approve or reject the file. Their decision to approve or reject a file will determine whether the cycle can proceed, or if it will stop. If the file is rejected, a subsequent cycle will be created, so that an updated artwork file may be uploaded and routed for approval.
Artwork Anchor
 
The location on the artwork box (top left, bottom right, etc) which should be anchored to a similar point (i.e. the CAD Anchor) in the structure file.
Artwork Box
The square or rectangular part of the PDF containing the artwork itself and excludes measurements, slug, or other aspects which would not be printed.
Asset
A digital file or element of value that is stored in BLUE.
Asset Library
Also known as the digital asset library, this web-based file cabinet allows you to access files in various formats (PDF, MS Word, media files, audio files, video files, etc.) and store metadata related to them. See Asset Library for more information.
ATMB
Auto Transfer to MediaBeacon. This is an automated system task that transfers the approved asset and its metadata to the MediaBeacon library.
ATTL
Auto Transfer to Library in BLUE. This is an automated system task that transfers the approved asset and its metadata to the BLUE library.
Base Artwork File
Used in both Auto-Generated Sub-Processes and Select Base Artwork tasks, the base artwork file is a file selected from the library and added to a project as an original base file to help guide the development of an approval file. The file from the library will be available to task owners within the approval process to use as a reference base artwork file.
Bookmarks
Bookmarks are user-defined filters that have been saved for a Qlik report, so that filters can be applied to a report.
Bypass
Bypass is a project action that a project or sub-process owner can take to skip on a task or sub-process. Bypassed tasks and sub-processes will remain in the task list, but will be skipped when the preceding task has been completed. Bypassed tasks and sub-processes can also be unbypassed. See Projects for more information on bypassing multiple tasks or hiding bypassed tasks.
CAD Anchor
The location on the print area (top left, bottom right, etc) within the structure file to be anchored with the Artwork Anchor in the artwork PDF, when creating packshots.
CAD Orientation
The degree (0, 90, 180, or 270) to which the artwork should be rotated clockwise to appear on the structure file, when creating packshots.
CAD X-Offset
The millimeters to which the artwork should be shifted left or right to appear correctly on the structure file.
Positive values shift the artwork to the right right, and negative values shift it to the left.
CAD Y-Offset
 
The millimeters to which the artwork should be shifted up or down to appear correctly on the structure file.
Positive values shift the artwork up, and negative values shift it down.
Chat Message
An informal dialog at a project or sub-process level. All project chat events are logged in Project History.
Chat Topic
 A project or sub-process subject that users can chat about.  Create new topics and send messages about existing topics at the project or sub-process level
Company
A company represents an organization to which BLUE contacts and users belong.
Constraint
A type of conditional custom field, where the values in a drop down list depend on the option selected in the previous drop down list.
Custom Field
Any field that is created for a specific client. Custom fields allow you to define additional information to be stored with elements. Custom fields appear with standard fields on the element page of an element.
There are different types of custom fields, depending on the type of data that will be accepted.
Date custom fields support day, month and year values between 1970 and 9999.
Create Packshots task
This type of task can be used to have the system create packshots of artwork which has been approved earlier in the project.
Duration
An estimated length of time in days that a project or task requires to achieve its goals and desired outcomes.
Dynamic Workflow
Dynamic workflow allows project owners to make live changes to tasks, sub-processes, and approval cycles in their projects. The options consist of being able to Insert tasks, Rewind a set of tasks or tasks within a sub-process, Redo parts of a project (such as a task, cycle or sub-process), or edit tasks within the Approval Cycle Builder. These changes are controlled by the project owner and take effect immediately or when a project is resumed. See Dynamic Workflow for more information.
Elastic Schedule
An Elastic Schedule is a Forecast Method that can be selected at project creation or edit. An Elastic Schedule will adjust the project due date based on task completion dates. Task due dates adjust to give the user the allotted amount of time for the task. See Projects for more information.
File
A digital asset, such as an image, font, document, or other design object that is associated with an element. Files can be associated with other element types, such as folders, tasks, or projects. Files are stored in the asset library.
File Collection
A file collection is way of organizing or labeling your files based on common properties to create a grouping of files that you can share or have shared with you. See File Collections for more information.
File Expiry Date
The date value used on an asset that indicates to the system that you wish to have the file status changed, or expire the asset to make it a historical record on that expiry date. See Asset Expiry for more information.
File Expiry Status
The status value used on an asset that indicates what status the asset should be changed to on its expiry date. See Asset Expiry for more information.
Fixed Schedule
A Fixed Schedule is a Forecast Method that can be selected at project creation or edit. A Fixed Schedule will maintain the due date of a project’s tasks regardless of whether the previous task was completed early, on time, or late. The Fixed Schedule is selected by default when creating a project. See Projects for more information.
Finishing Profile
A description of the substrate on which the artwork will be printed (e.g. metal, glossy paper, matte label, etc), in order for packshots to appear realistic.
Forecast Method
A Forecast Method can be selected at project creation or edit to assign a Fixed or Elastic schedule to a project. See Projects for more information.
Gatekeeper Reviewer or Approver
A reviewer or approver task owner who looks at all of the annotations that have been created by other reviewers and/or approvers for a file that is under review and decides which annotations are considered important for the next approval cycle. The gatekeeper then sets an annotation status for each annotation, which helps the artwork designer know which annotations are important when updating the artwork for the next approval cycle. The gatekeeper review task would typically follow the base artwork review tasks, and a gatekeeper approval task would typically follow the artwork approval cycle review and approval tasks. The gatekeeper task is configured on the Review or Approval task on the template when annotation statuses are defined.
Group
User Groups are sets of users that have common security rights and functions. Assigning users to User Groups enables you to control what a set of users can do and access in BLUE. Only Administrators can assign users to groups
Insert Task
A project owner can insert Standard and Upload Reference Files tasks within a project that has not yet been completed. See Dynamic Workflow for more information.
JSON file
JSON (JavaScript Object Notation) is a minimal, readable format for structuring data. It is used primarily to transmit data between a server and web application, as an alternative to XML.
Manual Transfer to Library Task
A workflow task that allows a user to transfer (move) approved assets to a specific location in the File Library. See Task Node Settings or Tasks for more information.
MediaBeacon
An enterprise DAM solution to which BLUE can connect. Files may be transferred from BLUE to a MediaBeacon library using the Auto Transfer to MediaBeacon task.
Metadata
Information about an element that is classified and organized into fields.
Milestone
A milestone is a reference point that marks an event in a BLUE project and is used to monitor the project’s progress. Milestones can be added at any level in the process templates and will appear in projects created from the process template. Milestones do not have task owners.
Packshot Definition
The settings for an individual packshot, including the View Preset, Scene Preset, and and other details (such as file naming conventions and format).
Packshot Definition Set
A set of packshot definitions to be made of the product.
Packshots Report
A PDF report containing details and full-scale images of all packshots generated from the task.
PPI
This is the number pixels per inch, which is a standard way of determining the resolution or sharpness of a file. The higher the PPI, the higher the quality of image. This means the file is larger but also more crisp when you zoom in.
Print Area
The area within an ArtiosCAD ARD file or Collada file on which artwork can be mapped when creating packshots.
Note: BLUE only supports structure files with a single print area. Some Collada files may have multiple print areas (e.g. front and back label), which is not supported.
Process Template
A process template is a structured series of activities defined in a certain order with dependencies to produce a designated outcome or reach a specific state of completion. Each activity is tracked by start and end dates, duration, statuses, and responsible owners
Project
Projects are created from process templates and contain all the resources needed to accomplish an objective, including tasks, files, assigned personnel, and schedule. See Projects for more information.
Project item
A project item is any item within a workflow, such as a task, a milestone, or a sub-process.
Publish
An action in the asset library that allows users to share one or more files to people within and outside of BLUE. When used, recipients will receive a link, which expires in 48 hours, to download the files.
Redo
Project and sub-process owners can choose to redo or re-execute one completed task in an active project. Redoing a task will change the task’s completed status to an in progress status and allow the task owner to make any necessary changes or upload different files. Completed cycles and sub-processes can also be redone. If the task is in a cycle, the cycle will be canceled and a new cycle will be created. See Dynamic Workflow for more information.
Reference File
A file that has been added to a project and/or task that can be used as a reference to complete tasks within a project. Approval files can be compared to reference files during an online proofing session. Also see Reference Files.
Reviewer
A Reviewer is a role associated to tasks in BLUE, given to someone who is responsible for reviewing base artwork or artwork files using the Online Proofing tool. Reviewers view the file and add comments, which are visible to other project participants, and may help Approvers to make decisions. When reviewers finalize their reviews by completing their tasks, the base artwork or artwork file is routed forward in the workflow to other reviewers and/or approvers.
Review Cycle
A review cycle is defined on the process template, it is the process that contains tasks for uploading, reviewing, and approving an artwork file. While a project is in progress, project and / or sub-process owners have the option to determine which completed reviews and / or approvals are to be included in subsequent cycles, when the approval files have been rejected by one or more review or approval tasks during a review cycle. Review Task
A task displaying a base artwork or artwork file that a user needs to review using the Online Proofing application. The user may add comments to request changes and then complete the task.
Rewind
Project and sub-process owners can choose to rewind a set of completed tasks or sub-processes in an active project. Rewinding to a selected location in a project will change the completed status of the project items to in progress or pending. Rewinding multiple project items will allow task owners to make necessary changes or upload different files.
Saved Search
This is a set of saved search filters that can be reused again in the future. For the searches that I own, I may share them with other BLUE users, rename, delete, or update their search criteria. See Project and Task Search or Library Search for more information.
Scene Preset
A setting detailing the lighting and background which should be applied in a packshot (e.g. soft exposure on a white background).
Share File Link
There are two ways to share a file link from project context. Depending on your system set up, you may have one or both of these methods available.
The first method, which is available in online proofing, allows you to share the file that is under review with external users. Recipients of this file link will be able to see the approval file and its cycles in online proofing, but will not see any of the annotations.
The second method, which is available from the task details and the project References tab for files that can be downloaded, allows you to share reference files with external users. Recipients of this file link will be able to see the reference file in online proofing and download it.
When sharing file links using the above methods, you may set an optional expiry date and password for the file link.
Note: The Share file option is available for proofing supported file formats. Adobe Photoshop files may not be shared in project context.
Standard Task
A task you accomplish and complete outside of BLUE and without the help of BLUE. Examples would be calling a supplier, calling a meeting, or printing a file. You can complete these tasks in BLUE by opening the Task Perform screen and indicating the task has been completed.
Structure File
The 3D model of the product to which artwork can be mapped. Structure files used to generate packshots must be ArtiosCAD ARD files or Collada files with a single print area.
Sub-Process Generation Asset
This is the asset used in Auto-Generated Sub-Processes that was selected from the library to create a sub-process in a project. The sub-process generation asset may also be the base artwork file when the asset it not changed in the Select Base Artwork File from Library task. This sub-process generation asset will appear in the sub-process details panel and the references section in the project.
Swimlane
A swimlane is a visual element used in process templates that visually distinguishes job sharing, groups, and responsibilities in a business process or workflow.
Tag (Project Chat)
A user is mentioned in a chat message and tagged by typing @ and then selecting the user’s name. A tagged user is notified by email. The tagged user will also see a red dot on the Notification icon when they log into BLUE. Out of Office users are noted with a red dot next to their name
Task / Task Node
A step in the workflow that needs to be completed. There are several task types, Standard, Upload Reference Files, Complete Form, Upload Approval File, Review, Approval, Automation, or Transfer to Library tasks. See Task Node Settings or Tasks for more information.
Text Compare
A licensed module that allows reviewers to quickly compare the text between two files from within the online proofing tool. Text Compare is supported within a workflow (in task context) as well as outside a workflow (from the asset library) and works with single and multi-page files. In addition to finding differences in text content, the reviewer can choose to compare some text properties, such as changes to font and style. For more information, see the BLUE Text Compare Guide.
Upload Approval File Task
An Upload Approval File task requires you to upload a file as a candidate for review and/or approval. The approval file can be annotated in a review cycle for further editing, or it can be rejected or approved. See Task Node Settings or Tasks for more information.
Upload Reference Files Task
An Upload Reference Files task will require you to locate a file in your computer (or accessible network directory) and upload it to BLUE or attach an existing file from the asset library. This file is usually a reference file or supporting document that does not need to be routed for review and approval, but that can be accessed by any user who is involved with the project. View Preset
A setting detailing the angle and rotation of the product from which the shot should be taken (e.g. front, left, back, etc.)
